Wind Is the Second Challenge
Wind affects backdrops through movement and potential tipping, props through scattering, and queue comfort through general discomfort that reduces participation. Choose backdrops that can be properly stabilized with weights or a sturdy frame, and avoid lightweight prop items that become projectiles in a breeze.
Weather Backup Is Non-Negotiable
Even if the forecast looks perfect, identify an indoor backup location before the event day. Confirm with your venue coordinator exactly where the booth can move if conditions change, decide in advance who makes the call to move it and under what conditions, and make sure the indoor backup is a genuinely usable location rather than a last resort.
Placement Still Matters Outdoors
The same principles apply outdoors as indoors: visible and near the main gathering area, close to bar or refreshments where people already flow, but not blocking paths or creating pinch points. Outdoor events often have more flexible space than indoor events, which is actually an advantage for booth placement.
